Position Summary

The Business Administrator is responsible for providing comprehensive support across both PRC and EHSS functions. This role plays a critical part in ensuring smooth day-to-day site operations, managing recruitment activities, coordinating EHSS-related vendor relationships, and supporting staff welfare through effective transportation and facility oversight. The ideal candidate will be detail-oriented, people-focused, and able to respond quickly to operational and emergency needs while upholding the highest standards of service and compliance.

Key Responsibilities

Recruitment & Onboarding

• Support the recruitment process by sourcing, screening, and scheduling candidates
in alignment with business needs.
• Coordinate new employee onboarding activities, including access to company
systems, ID cards, and transportation app registration.
• Maintain candidate and employee records, ensuring compliance with company
standards and local labor regulations.
EHSS Coordination & Site Operations

Client-Specific
  • Serve as the primary point of contact for facility repairs and maintenance, coordinating with vendors to ensure timely resolution of issues.
  • Supervise cleaning staff, oversee schedules, and ensure that all workspaces meet cleanliness, hygiene, and safety standards.
  • Monitor and report on facility repair needs, escalating to vendors or management as appropriate.
  • Manage access control for the site, including issuance, monitoring, and retrieval of ID cards and access credentials.
  • Support EHSS compliance by maintaining records, assisting with audits, and reporting any potential hazards or breaches.

 

 

Transportation & Staff Support
  • Coordinate daily staff transportation, including scheduling and communication with transportation providers.
  • Maintain accurate transportation rosters, routes, and updates in the employee transportation app.
  • Be on call to respond to transportation-related emergencies, ensuring continuity of service and staff safety.
  • Track and resolve transportation complaints or issues in a timely and professional manner.

 

General Administration
  • Prepare reports, presentations, and updates for the Group Director – PRC & EHSS on recruitment, EHSS, and transportation activities.
  • Maintain effective relationships with internal stakeholders and external service providers.
  • Assist in budget monitoring for EHSS and transportation functions.
  • Provide administrative support as required to ensure efficient operations.

 

 

Qualifications & Skills
  • Bachelor’s Degree in Business Administration, Human Resources, Management, or related field (or equivalent experience).
Client-Specific
  • Minimum 3 years of experience in administrative, recruitment, or EHSS support roles; experience in a BPO or corporate environment preferred.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and HR/administrative software tools.
  • Ability to remain calm and effective in emergency or high-pressure situations.
  • Proven ability to work independently while managing multiple stakeholders and priorities.
